Prior to Klippa, Boron’s finance team managed invoices manually using NetSuite, lacking a centralized system for approval flows and scalability.

The Challenges of Manual Invoice Approval in Consulting

Prior to implementing Klippa, Boron Management relied on manual invoice entry and disjointed administration through NetSuite. Each invoice was processed by hand, with no structured approval process or centralized visibility, leading to inefficiencies and bottlenecks.

The growing complexity of managing multiple entities and departments only compounded the challenge, as approvals had to be chased manually and key information was often missed or misrouted. This resulted in delays, higher risk of errors, and limited control over the financial workflow.

Boron Management Enhances Efficiency with Klippa’s Invoice Processing and enhanced NetSuite Integration

By adopting Klippa’s automation technology, Boron Management significantly streamlined its invoice approval process. Klippa introduced smart approval flows tailored to each department, such as Marketing, HR, and Facilities. Historical data was leveraged to implement merchant recognition and suggestion logic, enabling invoices to be routed to the right approvers automatically. Conditional rules, like mandatory dual approval for invoices over €5,000 ensured proper oversight.

Additionally, Klippa’s OCR capabilities enabled entity recognition, seamlessly identifying the correct legal entity per invoice. Email-based routing and trust-level automation allowed some flows to bypass manual finance reviews entirely. The self-service setup empowered Boron to independently manage and scale its workflows, including expanding from one to 70 administrations without needing ongoing support.

A key highlight in Boron’s implementation was Klippa’s renewed NetSuite integration. The integration allowed for invoices to be booked directly into NetSuite upon receipt in SpendControl, ensuring real-time accounting accuracy.

Once an invoice is fully approved in SpendControl, its status is automatically updated in NetSuite from “Pending Approval” to “Approved”. If rejected, the invoice status changes to “Rejected” in NetSuite as well. Users can reopen and adjust bookings before final approval, enhancing flexibility and accuracy. Additional improvements included:
Familiar field names and logical field order for intuitive user experience
Reduced validation errors through enhanced filtering and field rules
Support for amortization schedules, IBAN checks, and vendor creation
Legacy tax handling including reverse charge bookings and credit bill support
Custom dimensions like WKR for Dutch entities
Due date discrepancy warnings between supplier and invoice
Full SuiteTax support
These enhancements made the integration more powerful, user-friendly, and adaptable to complex finance environments, a major win for Boron and future Klippa clients using NetSuite.
